All registration takes place online with participation spots reserved on a first registered-first accepted basis. Entering participants through online registration temporarily holds slots for two weeks.  Payment or proof of intention to pay must be received within two weeks of registration in order to guarantee your registration. If payment or proof of intention to pay is not received within two weeks, your slots may be released. Full payment is due for all registrations no later than December 15, 2017. It is critical that you adhere to the stated deadlines to reserve your registration spots.  Information for payment is located in the right sidebar.

If you are not currently an ACDA member but plan to become a new member or renew your membership, you must inform the national office by emailing info@acda.dance or calling 240.428.1736.  You will then receive the invitation code enabling you to register as a member.  Your membership dues must be sent to the ACDA national office as soon as possible (Click here for ACDA membership information). 
    REGISTRATION POLICIES

To register for a regional conference as a member, all institutional memberships
must be in good standing.  All outstanding balances to ACDA and/or past
regional conferences must be paid in full.

The conference will be filled on a first-paid/first-registered basis.
 
Registration is not complete until full payment is received.

To reserve adjudication slots, institutions must officially register student(s). Any adjudication registration without a corresponding school registration of student(s) will be canceled.
 
In all cases, full payment must be received by conference deadline.

To hold your registration slots until the full payment deadline, payment or 
proof of intention to pay must be received within two weeks of submitting
your online registration.

PROOF OF INTENTION TO PAY INCLUDES:  
purchase order number or written documentation of an official request to make payment

There are no refunds on paid registrations.

 All of the above applies to both participant and adjudication slots.

Informal Concert slots may be requested during the first three days of registration.  Slots will be assigned, giving priority to those with no reserved adjudication slots.  After three days, any remaining slots will be first on a first-come/first-served basis.

A $25.00 cancellation fee will be assessed on each cancelled unpaid registration.

ACDA and Conference Coordinators are dedicated to providing requested special accommodations for any student or faculty member attending a conference.  In order to facilitate accommodations, ACDA requires that faculty reps contact the Conference Coordinator at least 60 days prior to the start of the conference to discuss potential accommodation needs.
 

 ONLINE REGISTRATION INSTRUCTIONS 

Initial Registration & How to Update

Registration prior to November 1, 2017 is a a two-step process.

  • STEP ONE will collect participant information and reserve adjudication and informal concert slots.  
Each registrant will have to be entered separately but questions on program information, teaching proposals and other detailed information will not be requested.
  • STEP TWO will collect detailed information.  Step Two opens November 2nd.

If bringing non-dancer musicians who will be at the conference only to perform, please speak with the Conference Coordinator.

For all groups, a Faculty Representative or ACDA Board Member serving as Faculty Rep. should be the first person to register. (More information on Group Registrations below.)

To begin registering you will need to provide an email address and a password.  Use a new password for each new conference.  DO NOT USE A PASSWORD FROM A PREVIOUS YEAR.

To simplify the registration process, the Faculty Representative should enter his/her own email for all registrants, with the exception of additional faculty.

IMPORTANT NEW PROCEDURE:  The Faculty Representative should register first and enter a unique password for her or his registration only.  All others in the group may share the same password, but the group password should be different than that of the Faculty Representative. DO NOT USE A PASSWORD FROM A PREVIOUS YEAR.

You have the option of entering a second email.  All confirmations will automatically go to both emails.  (For schools that have a student representative handling details for the conference, using the second email address is a good option.)

Proceed through all registration pages to complete registration.  Read each item carefully.  Checking boxes for participation will open additional fields.

In order to save any information that has been entered, you must “CONTINUE” to the last page and click on “FINISH.” If you do NOT proceed through all the pages and click on “FINISH” at the end, information you have entered will NOT be saved.

NOTE:  If you make an error in the process of going through the registration pages, do not use the “back” button as it may corrupt information. You will have an opportunity to correct information before completing registration or you may close the registration before completing and start over.

Your information has been entered and saved when you see the words on the Confirmation Page “YOUR REGISTRATION IS COMPLETE.

Please enter only as many people in your group as you are committed to bringing to the conference.  A $25.00 cancellation fee will be assessed on each cancelled unpaid registrant. You may add registrants at a later date if there are registration slots available.  There are no refunds on paid registrations.  If you cancel a paid registrant, you will not receive a refund.  You may, however, change (substitute) the names of the registrants with no additional fees.
UPDATING AND ADDING INFORMATION TO YOUR REGISTRATION
How to Re-Enter Your Exiting Registration in Order to: 
o    Submit Program, Teacher, Musician, Student Research, etc. Information 
o    Substitute Participant Names
o    Make any changes/additions needed
After the initial registration, one may re-enter the system to update information. 

  1. Click on “REGISTER NOW” on the conference website information pages to re-enter the online registration system.

  2. Click on “view or change your existing registration” Use the FACULTY REPRESENTATIVE or ACDA BOARD MEMBER SERVING AS THE FACULTY REP'S email address and password.

SUBMITTING PROGRAM INFORMATION, etc.

The Faculty Representative (or ACDA Board Member serving as the Faculty Rep) must re-enter the system to substitute registrants; submit program information, teacher forms, musician forms; and to update participant information, arrival times, etc.
SUBMITTING TEACHING, PANEL AND RESEARCH PRESENTATION PROPOSALS

Information should be submitted by the Faculty Representative or the individual Faculty member.  If the Faculty member is submitting his/her own information, obtain the email address and password from the Faculty Representative and read Updating Existing Registrations.
SUBMITTING MUSICIAN INFORMATION

Information should be submitted by the Faculty Representative or the individual Musician.  If the Musician is submitting his/her own information, obtain the username and password from the Faculty Representative and read Updating Existing Registrations.
