Logistics

General Information

The meeting will be held at NASA Goddard Space Flight Center (GSFC), Building 34, Room W150 April 3-5, 2017. For maps and directions please see below. Registration for the meeting is required by Non-US citizens by February 22 and US Citizens by March 24 to allow for security badging.

Presenter and Session Chair Information

Oral Speakers: Please plan on 11 minutes for your presentation, 3 minutes of questions, and 1 minute to hand over to the next speaker. A MAC computer will be available in the room for presentations. Please upload your talk (powerpoint or PDF) no later than the break before your session.

Poster Presenters: Please prepare a poster no larger than 36" x 48" (91 x 122 cm) in size (portrait). Pins will be available at the meeting.

Session Chairs: Please note your session and come to the podium at least 15 minutes before your session begins for AV instructions.

Poster Submission

Requests for late posters may be submitted directly to Conor Nixon at conor.nixon@nasa.gov and will be accommodated as space allows.

Student Travel Awards

We were pleased to be able to fund honorarium payments to a small number of students and post-docs.  All honorees have been notified at this time.

Coffee Service and Lunch Ordering

Coffee Service: Attendees may pay for coffee service which will be available the morning and afternoon of April 3 and 4 and the morning of April 5. The cost is $6.00 per person, per day on April 3 and 4 and $3.00 per person on April 5 and is payable in cash the day of the meeting. If you wish to pay for coffee service, please select on the Coffee Service and Lunch ordering sheet below.  Please be sure to select each day you wish to participate.

Lunch: Attendees may order box lunch for April 3 and 4.  The order sheet includes selections for sandwiches. Each box lunch comes with a drink and chips. Please make your selections on the Coffee Service and Lunch ordering form below.

Please complete the form and return to Mary Floyd at mfloyd@ingenicomm.com by 5:00 pm Thursday, March 30. Payment will be collected at registration each morning. Cash only will be accepted and exact change is appreciated.

Attendance by Citizens from Designated Countries

Due to restrictions and clearances for on-site access to NASA GSFC by citizens of certain countries designated by the US State Department, we cannot process registration or attendance from citizens of the countries listed on the designated countries list attached here.

Security

Security check-in and badging for ALL attendees will be done at the NASA GSFC Main Gate located at 8800 Greenbelt Road, Greenbelt, MD. Check in will begin at 7:30 am on Monday, April 3. Your security badge is valid for 3 days beginning April 3 through April 5. After you receive your badge you may enter through the main gate to building 34. Please be sure to have your Photo ID with you. If you are an International Visitor, please be sure to bring your Passport with you.

If you are:

  • NASA GSFC badged attendee: your registration completes your attendance requirements
  • US Citizen with no NASA GSFC badge: your registration completes your attendance requirements. However, your picture ID must meet the requirements of the US Department of Homeland Security. Please go to https://www.dhs.gov/secure-drivers-licenses to see if your state ID is compliant. If your ID is not from a compliant state, you must provide an Acceptable Form of ID as noted on this listing. If you do not have a compliant photo ID or Acceptable Form of ID you will not be allowed entry to NASA GSFC.
  • Non-US Citizen with approved registration: You will be required to submit additional information for clearance and badging. Once your registration is received and approved you will receive a message from Mary Floyd at mfloyd@ingenicomm to provide additional information.

Workshop Dinner

A group dinner is planned for Tuesday April 4th at 7 pm, at the Ram’s Head Tavern at Savage Mill.  The cost is $53 per person, including three courses (salad appetizer, entree, dessert) plus coffee/tea/soft drink. Tax and tip is included, alcoholic drinks available but not included. Please see the menu here. Please RSVP by noon on Friday March 31st to Skylar Shaver and skylar.shaver@nasa.gov. The dinner is limited to 40 people by the restaurant capacity. The restaurant is located 14 miles or 20 minutes from NASA GSFC near Laurel, MD. Directions from NASA are here.
